What this project sets out to do

Give every partner in the supply chain a smooth way in, and full transparency once inside. Onboarding a distributor or retailer takes minutes, not paperwork cycles — and from day one, every stakeholder sees the same real-time picture: raw-material and product stock, orders, and returns as they actually stand right now. Order and return status updates in real time, with real-time communication built in — so an order that hasn't yet shipped can still be discussed and changed inside the platform instead of over phone calls. Every participant makes decisions on live status reports, not yesterday's reconciliation. And on the manufacturing side, complete BOM (Bill of Materials) costing and Cost of Goods Manufactured (COGM) give a clear, per-unit picture of true cost, while the Raw Material Sourcing Optimiser turns projected sales into the supplier mix that minimises landed cost — weighing transport, supplier risk, and lead time — so pricing, sourcing, and margins are optimised across the chain.

The public face of the network: a storefront where anyone can browse the catalogue and prospective distributors or retailers can apply to become a partner — with batch & expiry tracking, GST-compliant invoicing, and real-time order tracking promised up front and delivered inside.

Product catalogue

One catalogue as the single source of truth — products organised by category (Floor Care, All-Purpose Cleaners, Dusting & Wiping, Specialized), each with imagery and descriptions, filterable and searchable before a partner ever logs in.

Partner onboarding, end to end

From application to first delivery in four tracked steps: register online in minutes, get verified and activated by the manufacturer, order directly from live stock, and receive batch-tracked goods with the GST invoice already in your inbox.

Owner command centre

The manufacturer's dashboard puts the whole network on one screen — total orders with items awaiting action, financial-year revenue, users and stock SKUs with low-stock and expiry flags, a live order pipeline from Placed to Dispatched, and a pending-actions queue of approvals, returns, and alerts.

Order lifecycle management

Every order in the network — retailer to distributor, distributor to manufacturer — lives in one ledger with status filters (Placed, Accepted, In Process, Dispatched, Received, Cancelled), party-to-party routing, amounts, and searchable order history.

Full order journey timeline

Each order carries its complete biography: placed, accepted with invoice number, items updated, in process, dispatched, received — and any returns that follow — every event stamped with who did it, in which role, and exactly when.

Returns with photo evidence

Buyers raise returns against an order with a reason, per-item batch numbers, manufacture and expiry dates, notes, and photo evidence attached — then the return moves through a Pending → Approved → Completed workflow the manufacturer controls.

Batch-tracked stock position

Inventory is held at batch level — every batch with its manufacture date, expiry date, unit price, and quantity. Low-stock batches are flagged amber, expired batches red, and the SKU / low-stock / expired counters keep the whole position readable at a glance.

Raw materials, categories & UoM

The manufacturing side starts here: a raw-material register organised by category, with packaging and unit-of-measure definitions — cardboard sheets by the 25 or 50, cotton rope bundles, chemical drums by the litre — so purchasing and stock always land in consistent units.

Costing & bill of materials

Each product gets a per-unit recipe with wastage percentages, plus conversion costs (labour, fuel, energy, overhead) rolling up to COGM. Landed cost adds freight, customs, insurance, handling, and carrying; profitability on MRP shows manufacturer, retailer, and chain margins — with a dated cost-version history whenever COGM shifts.

Supplier network with risk profile

Raw-material suppliers are registered with location, distance, lead time, and a risk rating — searchable by name, city, or GSTIN — so sourcing decisions weigh more than just price.

Sourcing optimiser

Feed in projected sales and the optimiser picks the supplier mix that minimises landed cost — with tunable penalties for transport distance, supplier risk, and lead time, hard caps on acceptable risk and delivery days, and modes for a full production plan or a single material.

Sales analytics

Revenue by financial year with full-year, year-to-date, and monthly views plus previous-year comparison — revenue by category, monthly trend lines, category and product league tables, and one-click PDF export for reporting.

Append-only audit log

Every sensitive action in the network is recorded — actor and role, action, entity, context, IP address, and timestamp — filterable by entity type, action, and date range, so approvals, rejections, and logins are always reconstructable.
